How to tell if your business needs custom software

Custom software is not always the right answer. Here is how to recognize when it makes sense and when an existing tool is enough.

Five clear signs

1. Your teams work around your tools

When a shared spreadsheet becomes the real management system, or information mostly moves by email, your tools no longer match how you work.

2. The same information is entered several times

A customer entered in the sales system, then in accounting, then in a tracking sheet: each re-entry takes time and adds a risk of error. Sometimes an integration between your tools solves this without any new software.

3. The way you work sets you apart

If your method is an advantage, forcing it into generic software can cost you that edge. A tool designed around it can strengthen it instead.

4. Licences no longer fit your needs

You pay for many features nobody uses, and the one that matters is still missing. Compare the total cost over several years, not just the starting price.

5. You cannot see your numbers clearly

If producing a report takes a day of copy and paste, that is often the real problem. Data brought together in a dashboard can already change your decisions.

When you are better off without it

For accounting, payroll or email, a standard product is usually the best choice: your needs resemble those of thousands of businesses, and these tools are already proven. Custom work is also hard to justify if the process still changes every month, or if nobody can look after it after launch.

How to start without a big risk

  1. Name the problem. Describe the task, who does it, how often and what it costs.
  2. Check what exists. A well-configured off-the-shelf tool may be enough.
  3. Test a small version. Put the essential feature in real users’ hands before building the rest.
  4. Plan what comes next. Security, updates and ongoing improvement are part of the real cost.

The question to ask

Do not start by asking whether software is possible. Ask which problem costs enough to be worth solving, and what the smallest solution would be.
